Formula and methodology
Formula: Reimbursement = distance × entered reimbursement rate; estimated variable cost = distance × actual cost rate; total estimated travel cost = variable cost + fixed travel costs; difference = reimbursement − total estimated travel cost.
This page compares an entered reimbursement rate with an entered cost model. It is deliberately jurisdiction-neutral: the rate can come from an employer, contract, fleet policy, or local rule, while parking and tolls remain visible instead of being silently folded into a mileage number.

Assumptions and limits
- Distance is already expressed in the same distance unit used by both rates.
- The reimbursement rate is supplied by the visitor and is not looked up by location or date.
- The actual cost rate is a planning estimate, not a measured guarantee of vehicle cost.
- Fixed travel costs are for the same trip set as the entered distance.
- The difference is a comparison of assumptions, not taxable income or deductible expense advice.
- Fuel, maintenance, depreciation, insurance, financing, and time costs may be represented inside the actual rate if the visitor chooses.
